1. Enrolment & activation
Enrolment is confirmed only after the registration fee has been received and verified. The learner's platform licence and academic coaching sessions are activated upon successful payment.
2. Monthly fees
Monthly fees are payable in advance on the agreed debit date each month for the duration of the programme. It is the parent/guardian's responsibility to ensure sufficient funds are available.
3. Failed payment & immediate deactivation
In the event of a failed or unsuccessful monthly payment, the learner's platform licence and academic coaching sessions will be ceased with immediate effect. Access to the learning platform, live sessions, recordings and learner support will be suspended on the day the failure is recorded.
4. 48-hour grace period
The parent/guardian is granted a 48-hour grace period from the time of the failed payment to facilitate settlement of the outstanding amount. Failure to settle within 48 hours will result in automatic termination of the service contract.
5. Re-registration after termination
Where the contract has been terminated due to non-payment, the learner may only resume services by undergoing the full re-registration process. This includes payment of the registration fee as well as the monthly fee upfront before access is restored.
6. Account not debited as agreed
Should the parent/guardian experience challenges where the account is not debited in line with the agreement, they are required to escalate immediately to Math Science Architect's contact channels (phone, email or WhatsApp) before the grace period elapses, so that alternative arrangements can be made and deactivation avoided.
7. Cancellation
Cancellation by the parent/guardian requires one calendar month's written notice. Registration fees are non-refundable.
8. Code of conduct
Learners are expected to attend scheduled sessions punctually, complete assigned work and conduct themselves respectfully on the platform.
9. POPIA disclosure (Protection of Personal Information Act, No. 4 of 2013)
Math Science Architect is the responsible party for personal information collected on this form. Personal information of the parent/guardian and learner is collected and processed lawfully and fairly for the specific purposes of: registering the learner, providing platform access and academic coaching, billing and payment administration, communication regarding sessions and progress, and compliance with applicable laws. Information will not be sold or shared with third parties for marketing purposes. The parent/guardian has the right to access, correct or request deletion of the learner's and their own personal information, and to lodge a complaint with the Information Regulator of South Africa.
10. SASA disclosure (South African Schools Act, No. 84 of 1996)
Math Science Architect provides supplementary academic coaching and a learning platform. It is not a registered school in terms of the South African Schools Act and does not replace the learner's compulsory school attendance or formal schooling obligations under SASA. The parent/guardian remains responsible for ensuring the learner's enrolment at and attendance of a registered school. Records of the learner's participation may, on written request by the parent/guardian, be shared with the learner's registered school to support academic progress.
